Privacy policy
What this website collects, what we do with the details you send us, and how to reach us about them.

The short version
We measure visits and ads
Google Analytics shows us which pages people read. Microsoft Clarity shows us where they click and scroll. Google Ads shows us which ads bring people in. When you book a call, we may tell Google Ads, using a coded version of your email and phone. The Meta Pixel does the same for our Meta ads on our snow pages.
Your details are for working with you
When you email us, use our contact form or book a call, we use what you send to reply, book the call and do the work. We don't sell it.
You can ask us anything
Ask to see or fix your information, or ask us to stop using it, at any time. Email admin@figuredmedia.com.
Who we are
Figured Media is a small marketing, website and software company in Ottawa, Canada. This policy covers this website, figuredmedia.com, and our booking pages at relay.figuredmedia.com. When we say we or us, we mean Figured Media.
The head of Figured Media is the person in charge of privacy here. You can reach them at admin@figuredmedia.com.
What this website collects
Google Analytics
We use Google Analytics to see how people use the site: which pages they view, how long they stay, what device and browser they use, the city or country they visit from, and how they found us. It also counts clicks on our email links and messages sent with our contact form (not what you write), so we can see which pages lead people to get in touch. It sets cookies (_ga and _ga_ plus an ID) so it can tell a first visit from a return visit. Google Analytics doesn't log or store IP addresses, and it doesn't tell us who you are.
Google Ads
When you click one of our Google ads, the link carries a click ID. If you then book a call on our booking page, the click ID is saved with your booking, so we know which ad brought you. Our Google tag can also keep it in a cookie (_gcl_aw) on figuredmedia.com for up to 90 days, so it still counts if you book on a later visit. Google may also use these cookies to measure our ads and to show our ads to people who visited before.
Microsoft Clarity
We use Microsoft Clarity to see how people use the site, so we can make it better. It records clicks, scrolling and mouse movement, and turns them into heatmaps and replays of visits. It hides what you type.
It sets cookies (_clck and _clsk) to link the pages of a visit and to tell a first visit from a return visit. Microsoft may set some of its own. For visitors in Europe, the UK and Switzerland, it runs without cookies, so each page view stands on its own.
We don't use Clarity data for ads, and our site tells Clarity not to store anything for ads. Microsoft's privacy statement explains how Microsoft handles the data.
If you visit from Europe, the UK, Switzerland or Quebec
Our Google tags keep analytics and ad cookies off for visitors from the European Economic Area, the UK and Switzerland. For visitors from Quebec, they keep ad cookies and ad personalization off. Google may still get basic signals without cookies, like the fact that a page loaded.
Microsoft Clarity runs without cookies for visitors in Europe, the UK and Switzerland. For Clarity, we go by the time zone your device is set to.
Meta Pixel
We use the Meta Pixel (ID 793963847645425) only on our snow pages. It stays off if your device's time zone is in Europe, the UK or Switzerland. It sends Meta a PageView event when a page loads and a Lead event when the snow form is sent. Automatic event setup is off (autoConfig is false).
It sets the _fbp cookie, and _fbc if you came from a Meta ad, for up to 90 days. Meta uses this to measure our ads and show our ads to similar people. We don't run these ads in Quebec.
Contact form
Our contact form asks for your name, your email, your business or website if you want to add it, and your message. It also sends the page you were on. When you press send, our web host emails it to our Figured Media mailbox. The website itself doesn't keep a copy of contact form messages. It keeps a coded fingerprint of each message for 30 minutes, so a double click doesn't send it twice.
To stop spam, the form uses Cloudflare Turnstile. It loads when you scroll near the form and looks at your browser and connection, like your IP address, to tell people from bots. Most people never see it. Cloudflare's Turnstile privacy notice explains how Cloudflare handles that data. Our web host also counts how many messages each connection sends, under a coded version of the IP address, and deletes those counts after two days.
Snow page forms
The forms on /snow/, /snow/shop/, /snow/map/, /snow/line-check/, /snow/4am/ and /snow/drive/ ask what you clear, your fleet size, company name, town, name, mobile number and email. Your website and notes are optional. Each form also sends the design you picked, any extras you ticked, the page version, currency and page address. It includes ad tags if present: utm_source, utm_medium, utm_campaign, utm_term, utm_content, gclid and fbclid. The map check on /snow/map/ requires the area you cover and optionally asks for your Google profile name or link. The test call on /snow/4am/ asks for the business number you want us to call, a time window and your consent to that call. We call once. We don't record the call. The line check on /snow/line-check/ adds your answers to its four questions to the notes. The form on /snow/shop/ adds your chosen extras to the notes. The form on /snow/drive/ adds your chosen extras to the notes.
Cloudflare Turnstile checks each form. When you send it, our web host emails it to our Figured Media mailbox. Unlike the contact form, our web host also keeps a private copy. We use your details to make your free preview or check, text or email you about it, and follow up. We don't sell them.
Server logs
Like most websites, our web host keeps logs of requests (IP address, browser, page and time) to keep the site running and safe.
What you send us
When you email us, use the contact form on this site or book a call on our booking page, you give us things like your name, email, phone number, company, website and what you need. When you book, we also keep the time you picked and which ad or link brought you, if any.
A few more things go with your file:
- To get ready for a call, we look at your business's public website and public records about it, like its email settings and job posts. We save what we find with your company, including staff names and LinkedIn links listed there.
- We may record calls to take notes, with your OK at the start. The recording and a written version are kept with your file.
- When you open a proposal we send, we note when it was opened and in what browser. When you accept one, we keep your name, title, email, a coded version of your IP address, your browser and the time, as the record.
We use it to:
- reply to you
- book and run calls, and send calendar invites
- get ready for calls and write up notes
- send the quotes and proposals you ask for
- do the work and bill for it
- keep a record of our work together
We keep it in Relay, our own customer system. Relay's main copy is hosted by Fly.io in Toronto, Canada. Backup copies are kept on our own computer and in Microsoft OneDrive. Invites and replies come from our Figured Media mailbox. We don't sell your information.
How we measure our ads with Google
We want to know which ads lead to real clients, not just clicks. So we may tell Google Ads when you book a call or become a client, if you found us through our website, booking page or ads. We send:
- the ad click ID, if you came from one of our ads
- your email address and phone number, if we have them, turned into a code first (SHA-256)
- when it happened and, for a new client, what the work is worth
Google matches the code to Google accounts to see if you clicked one of our ads. So the code still points to you, and you can ask us not to send it. We don't send your name or your messages. Google uses this to measure our ads.
Who else handles it
A few companies help us run things. Each one gets only what it needs for its part:
- Google: Analytics and Ads, as described above (see how Google uses data from sites like ours)
- Meta: the Meta Pixel on our snow pages, as described above
- Fly.io: hosts Relay, our customer system, on servers in Toronto
- fal.ai: an AI service in the United States that turns call recordings into text and helps us write up calls, get ready for meetings and draft emails, using the details and notes it needs for that
- Microsoft: Clarity, as described above, and OneDrive, which keeps a backup copy of Relay
- Discord: our team chat, where Relay can post a daily summary with the names of people who booked a call or got in touch
- Our email provider: carries email between you and us
- Cloudflare: Turnstile, the spam check on our contact form
- Our web host: serves this website and sends us the messages from its contact form
Some of these companies may store or handle data outside Canada, such as in the United States, where local laws apply.
If you live in Quebec, your information is kept outside Quebec: in Ontario, and with the companies above.
How long we keep it
- Google Analytics keeps visit data for up to 14 months. Its
_gacookie lasts up to 2 years. - The Google Ads click cookie lasts up to 90 days.
- Microsoft Clarity keeps most recordings for 30 days. Heatmaps, recordings we save and a random sample of recordings stay up to 9 months. Its cookies last up to a year.
- Meta Pixel cookies last up to 90 days.
- Contact form messages arrive as email and are kept like any other email.
- Snow page requests stay on our web host and in email while we work together, then are deleted when no longer needed.
- Emails, bookings, call recordings and notes stay while we work together, then as long as we need them for our records and taxes. In Canada that's usually six years.
- If we don't end up working together, your details stay in Relay until you ask us to stop using them. Then we archive your file: you come off our lists and we stop contacting you.
- Relay keeps a history of every change that can't be edited, and we keep backups, so we can't fully erase an archived file. It stays there, and we don't use it again.
Your choices
- Turn off personalized ads from Google in Google's ad settings.
- Opt out of personalized Meta ads through Meta's ad settings and the Digital Advertising Alliance of Canada.
- Stop Google Analytics on every site with Google's opt-out browser add-on.
- Block or delete cookies in your browser's settings. This site works fine without them.
- Ask us not to send your coded email and phone to Google Ads. Email admin@figuredmedia.com.
Your rights
Under Canadian privacy law, you can:
- ask what personal information we have about you, and get a copy
- ask us to fix anything that's wrong
- withdraw your consent: ask us to stop contacting you, stop sending your details to Google Ads, or stop using them at all (we may still have to keep some records by law)
If you live in Quebec, Law 25 also lets you ask how we got your information and who we shared it with, ask us to stop spreading it, and get it in a common format you can take elsewhere.
To ask, email admin@figuredmedia.com. We may need to check that it's really you. We'll answer within 30 days.
If you're not happy with our answer, you can complain to the Office of the Privacy Commissioner of Canada. In Quebec, you can also go to the Commission d'accès à l'information.
Changes to this policy
If we change how we handle your information, we'll update this page and the date at the top. This version is from October 24, 2026.
